How to export GSTR-1 from PharmaBill
One click generates the exact multi-sheet workbook the GSTN Returns Offline Tool accepts.
Step by Step
- Go to GST → GSTR-1 Export and select the return period.
- Review the sheet summary: b2cs, b2b, hsn, cdnr, cdnur, exemp, doc.
- Click Download — a validated .xlsx workbook is generated.
- Import it into the GSTN Returns Offline Tool, generate the JSON, upload it on the GST portal and file with EVC or DSC.
Before You Export
- Close the month: all invoices finalised, sales returns entered as credit notes, cancelled invoices marked cancelled (not deleted).
- Check tax rates: since 22 September 2025 most medicines are 5% and the 12% slab no longer exists. Any item still on 12% is wrong — fix it with HSN Bulk Update before exporting.
- Check B2B buyers: every B2B invoice needs a valid buyer GSTIN, or it will land in the wrong sheet.
After the Export: the Portal Steps
- Open the GSTN Returns Offline Tool and choose GSTR-1 for the period.
- Import the PharmaBill workbook — the tool validates each sheet.
- Generate the JSON file and upload it on the GST portal (Returns Dashboard → GSTR-1 → Prepare Offline → Upload).
- Wait for the upload to process, preview the summary, then submit and file with EVC or DSC.
Due Dates
Monthly filers file GSTR-1 by the 11th of the next month. Small taxpayers on the QRMP scheme file quarterly by the 13th of the month after the quarter (with the optional IFF for B2B invoices in the first two months). Always check the GST portal for extended dates.
Common Mistakes
- Deleting a cancelled invoice instead of cancelling it — the
docsheet then shows a gap. - Leaving old 12% items in the master after the GST 2.0 rate change.
- Typing B2B sales as B2C because the buyer GSTIN was not captured.
- Fixing numbers in the Offline Tool instead of in PharmaBill — the next export will bring the mistake back.
FAQ
- Can I correct GSTR-1 after filing? Use GSTR-1A for the same period (before filing GSTR-3B) or amend in a later GSTR-1.
- Does the export need internet? No. Only the portal upload needs internet.
