Setting Up a Pharmacy Billing Counter: Hardware & Software Guide

A well-set billing counter is boring — and that is the point. The scanner reads first try, the printer never jams, the screen shows everything, and the cashier never leaves the keyboard. Here is what a modern Indian pharmacy counter actually needs, at every budget.

Design the Counter Around the Loop

The loop is: search/scan → confirm → pay → print. Arrange hardware so the goods move left to right: patient queue → scan zone → payment zone → printer output. Every extra step in that physical path is a second added to every bill.

The Hardware Checklist

PrinterAny USB printer80 mm thermal, auto-cutter

Optional—Cash drawer, customer display, label printer

The Software Checklist

  • Keyboard-driven billing loop — the mouse is optional equipment.
  • Batch and expiry on every line, with FEFO selection.
  • Loose tablet billing with automatic unit math.
  • Silent thermal printing — no browser dialogs at checkout.
  • GSTR-1 export in GSTN Offline Tool format.
  • Digital Schedule H1 register with pharmacist gating.
  • Offline operation — billing must survive your ISP.

Networking Two Counters

One PC hosts the database; other counters connect over LAN/Wi-Fi with their own logins. Put the server machine on wired Ethernet and the UPS — the counters can be tablets or laptops. A single license covering all devices keeps this affordable.

Realistic Budgets

SetupCost level
Reuse existing PC + add thermal printer + scannerLowest cost
New mid-range counter PC + full peripheralsMid-range
Two counters (server + laptop/tablet) + networkingHigher setup
Spend order matters: printer quality first (it touches every bill), scanner second, PC third. A fast PC with a jamming printer still loses the evening queue.

Day-One Counter Checklist

  • Print a test bill and check shop name, GSTIN, drug licence numbers and address.
  • Scan ten different products, including a glossy strip and a bottle.
  • Bill one loose-tablet sale and one B2B sale with a GSTIN.
  • Take a UPI, a cash and a split payment, then run the end-of-day report.
  • Switch off the internet and bill again — it must still work.
  • Give every staff member their own login; never share the admin password.

FAQ

  • Do I need dot-matrix? Only if your accountant requires triplicate copies — otherwise thermal wins on speed and noise.
  • 58 mm or 80 mm thermal? 80 mm fits more per line; 58 mm is fine for compact counters.
  • Will cheap scanners work? Any keyboard-wedge USB scanner works; the difference is read reliability on glossy strips.
