Complete Guide to Barcode Billing for Medical Shops

Barcode billing is the cheapest speed upgrade in retail: a ₹1,200 scanner typically halves your per-bill time. This guide covers how it works, what to buy and how to handle the many Indian products that arrive without usable barcodes.

How Barcode Billing Actually Works

Almost every counter scanner is a keyboard-wedge device: it types the barcode characters into whatever field has focus and presses Enter. Good billing software keeps a keystroke buffer running on the billing screen that detects scan bursts — fast, uniform keystrokes ending in Enter — and auto-adds the matching item without the cashier focusing anything. No drivers, no configuration.

Choosing a Scanner

  • Connection: USB (any PC) or Bluetooth (tablets/phones). Both are wedge devices.
  • Symbology: 1D (EAN-13/UPC) covers manufacturer packs; 2D (QR/PDF417) adds printed labels and patient IDs.
  • Form: handheld vs stand-mounted auto-sense — stands win at busy counters (scan without picking up).
  • Gloss tolerance: cheap scanners struggle with glossy strip foils; test with your actual stock.

QR Codes on Top Medicine Brands

Since 1 August 2023 the top 300 drug brands sold in India must carry a QR code or barcode on the pack (Schedule H2 of the Drugs Rules), with details such as the product name, batch number, manufacturing and expiry dates. A 2D scanner can read these codes; whether your billing software can use them to pick the batch automatically is worth asking in any demo. For everyday billing, the EAN barcode on the pack is still the fastest way to add an item.

Printing Your Own Barcodes

Loose strips, local repacks and unbranded items arrive bare. A ₹2,500–4,000 label printer plus item master barcodes solves it: generate internal codes, print small labels, stick on the shelf bin or strip. The counter then scans everything.

Setup in Four Steps

  1. Plug in the scanner — Windows sees a keyboard.
  2. In billing, scan any item; the software auto-detects scanner input.
  3. Verify the FEFO batch auto-selected on scan (it should be the earliest expiry).
  4. Assign internal barcodes to untagged items and print labels.
Check one thing: the MRP ceiling lock must engage on scanned adds too. A scan should never be able to slip in a stale price.

Scanner Troubleshooting

ProblemFix
Nothing happens on scanOpen Notepad and scan — if no text appears, check the cable or pairing.
Wrong characters appearSet the scanner’s keyboard language to US English (from its setup barcode sheet).
Item not foundThe code is not in your item master yet — add it to the item once, it will work next time.
Fails on shiny stripsTilt the strip slightly or use a better imager scanner.
Two items added on one scanThe scanner sends an extra Enter — turn off the duplicate suffix in its settings.

FAQ

  • Will scanning bill the wrong batch? Not if FEFO auto-selection is on — the soonest-expiring sellable batch is chosen by rule.
  • Can I scan medicines without printed MRP barcodes? Yes — generate internal barcodes and label them yourself.
  • Do scanners work offline? Completely — the scanner is just a keyboard.
