How to do a Goods Receipt Note (GRN / Stock-In)
GRN is where batch, expiry, purchase price and MRP enter your stock — the most important data-entry screen in the product.
Step by Step
- Open Purchases → GRN → New (full-screen keyboard entry).
- Per line: batch, expiry, purchase price (excl. tax), MRP, qty, free qty.
- Margin safety warnings flag any line where purchase price + GST approaches MRP.
- Save — stock, ITC and the immutable ledger update instantly.
Before You Start
Have the distributor’s invoice in hand. Enter exactly what is on it: invoice number and date, supplier, and for each line the batch, expiry, quantity, free quantity, purchase price (before tax) and MRP.
Checks That Save Money
- Expiry: refuse or flag short-expiry stock at the door, not three months later.
- Free quantity: enter scheme goods as free, so your real cost and margin stay accurate.
- Margin warning: if purchase price plus GST comes close to MRP, the screen warns you before saving.
- GST: the input tax on each line goes straight into your ITC register.
FAQ
- What if I made a mistake in a saved GRN? Correct it with a stock adjustment or a return to the supplier, with a reason, so the history stays complete.
- Why must the purchase price be before tax? Because the tax is input tax credit, recorded separately for GSTR-3B; your cost is the price before tax.
