Stock adjustments and damage write-offs
Every stock correction needs a reason and creates an immutable ledger entry.
Step by Step
- Go to Inventory → Adjustments → New.
- Choose type: Damage, Breakage, Physical Count or Write-off.
- Enter item, batch, quantity and a mandatory audit note.
- Save — the ledger records the movement; nothing is silently overwritten.
When to Use an Adjustment
- Damage or breakage — a dropped bottle, a crushed strip.
- Expiry write-off — stock that expired and cannot be returned.
- Physical count — when the shelf count differs from the system.
Good Practice
- Always write a clear reason; the audit trail keeps it with the user name and time.
- Try a return to supplier before writing off — it recovers money.
- Input tax credit taken on goods that are destroyed or written off has to be reversed under GST rules. Ask your accountant to handle it in GSTR-3B.
FAQ
- Can an adjustment be deleted? No. Corrections are new entries, so stock history can always be checked.
- Who should be allowed to adjust stock? Only the owner or a trusted manager — set this in user permissions.
