Adding your first medicines to the Item Master
Items can be typed one by one or imported from Excel/CSV templates. HSN code and tax slab are mandatory at creation.
Step by Step
- Open Masters → Items → New.
- Enter name, pack size, HSN code (Chapter 30 for medicines) and tax slab.
- Set MRP, reorder level and schedule classification (H/H1/X if applicable).
- Bulk option: download the Excel template, fill it and use Masters → Import.
What to Fill In for Every Item
- Name and generic name — staff search by either.
- Pack size (e.g. strip of 10) — needed for loose-tablet billing.
- HSN code and GST rate — copy them from the distributor’s invoice. Since 22 September 2025 most medicines are 5%.
- Schedule (H, H1 or X) — this switches on prescription checks and the H1 register.
- Reorder level — the stock level that should trigger a purchase.
Importing From Excel
For a full catalogue, use the Excel template rather than typing items one by one. Check the HSN and GST columns before importing — a wrong rate in the master becomes a wrong rate on every bill.
Batch, expiry, purchase price and MRP are entered when stock arrives (GRN), not in the item master.
FAQ
- Where do batch number and expiry go? In the Goods Receipt Note when the stock arrives. One item can have many batches, each with its own expiry and MRP.
- Can I save an item without an HSN code? No. HSN is required, so your GSTR-1 HSN summary is always complete.
