Creating user accounts and setting permissions
RBAC lets you decide exactly who can discount, return, view margins or dispense scheduled drugs.
Step by Step
- Go to Settings → Users → New User.
- Assign a role: Admin, Pharmacist, Cashier, Accountant or custom.
- Toggle granular permissions (discount limits, returns, margin visibility).
- For pharmacists: enter the registration number — required for Schedule H/H1/X dispensing.
Recommended Roles for a Pharmacy
| Role | Typical permissions |
|---|---|
| Admin (owner) | Everything, including users, settings and reports |
| Pharmacist | Billing including Schedule H/H1/X drugs, returns, stock view |
| Billing counter | Billing of non-scheduled items, no stock or purchase access, limited discounts |
| Accountant | Reports and GST exports, no billing |
Good Practice
- Give every person their own login — the audit log then shows who did what.
- Enter the pharmacist’s registration number on their account; it is recorded on Schedule H1 entries.
- Set a discount limit for counter staff instead of sharing the admin password.
FAQ
- How many users can I create? Pharmacy plans include up to 20 users; Clinic and Hospital plans have unlimited users.
- Can a cashier bill a Schedule H1 drug? Only a login linked to a registered pharmacist can dispense scheduled drugs.
